What it helps you do

Use PennWest Brand Assistant to:

  • Draft emails, announcements, and updates

  • Rewrite existing content to sound more PennWest

  • Create web copy, blurbs, and short descriptions

  • Tighten messaging for clarity and tone

  • Turn rough notes into polished, ready-to-use text

What it is (and what it isn’t)

It is:

  • A writing and editing assistant

  • A brand voice guide

  • A consistency tool you can use anytime

It is not:

  • A policy or compliance authority

  • A replacement for required approvals

  • A tool for rankings, “best-of” claims, or competitive language

If your message requires official review or approval, use the assistant to draft content—then follow your normal process.

How to use it

Step 1: Tell it what you’re creating

Start with the format and audience:

  • “Write an email to students about…”

  • “Rewrite this webpage paragraph for prospective students…”

  • “Create a short announcement for faculty and staff…”

Step 2: Give it the details that matter

Include any key information you want reflected:

  • Who the audience is

  • The purpose of the message

  • Dates, deadlines, locations, links

  • Any required wording or constraints

  • The tone you want (brief, formal, friendly, etc.)

Step 3: Review and refine

You’re in control. Before sending or publishing:

  • Confirm facts, dates, and links

  • Adjust to fit your department’s needs

  • Shorten or expand if needed

  • Run a second prompt like: “Make this shorter,” or “Make this more direct.”

Copy-and-paste prompts you can use

Rewrite

“Rewrite the text below in the PennWest brand voice, keeping the same meaning and length: [paste text]”

“Make this clearer and more direct for a general audience: [paste text]”

Email

“Draft an email to faculty and staff about [topic]. Keep it calm, clear, and action-focused. Include these details: [list]”

Web

“Write a short paragraph for a PennWest web page about [topic]. Keep it grounded and supportive, not overly promotional.”

Social

“Write three social captions for [platform] about [topic]. Keep them concise, confident, and on-brand.”

Tips for best results

  • Be specific. The more context you provide, the better the output.

  • Paste your draft. If you already have text, ask it to rewrite rather than start from scratch.

  • Ask for options. “Give me 3 versions” is often the fastest path to a great final.

  • Keep it credible. Avoid superlatives and “best” claims—focus on clarity, access, outcomes, and support.
